Terms of service
22 October 2026Splitbook is training-planning software for running coaches, operated by BDS Experts Leszek Szejka, Lipowa 61, 44-164 Gliwice, Poland, VAT ID (NIP) PL6312579527 ("we"). These terms govern your use of it. If you do not accept them, do not use the service.
1. Who may use it
Splitbook has two kinds of user. A coach holds an account and must be at least 16 years old to hold one. An athlete is invited by a coach, signs in with a code sent to their email address, and never pays.
An account belongs to one person; sharing credentials is not permitted, because everything in Splitbook is scoped to the coach who owns it and a shared account cannot be audited.
You need a current web browser with JavaScript and the cookies needed for signing in, and an email address you can read. Splitbook runs in the browser; there is nothing to install.
2. Your athletes
You may record information about the people you coach. When you do, you decide what is recorded and why — which makes you responsible for having a lawful reason to hold it, and for telling your athletes that you do.
Health information in particular — injuries, heart rate, test results — needs your athletes' explicit agreement in most of Europe. Splitbook asks each athlete for it when they first sign in, naming you as their coach, and records it. That does not replace your own duties: you must tell athletes what you record and why, you need a lawful reason for anything you recorded before they joined, and what you type into free-text fields is your responsibility.
3. Processing your athletes' data
For the personal data of athletes that you record or that reaches Splitbook on their behalf, you are the controller and we are your processor. By accepting these terms you instruct us to process that data in order to provide Splitbook to you, for as long as your account lasts. The kinds of data and the people concerned are described in the privacy notice. We will:
- process it only on your documented instructions — these terms and your use of the service — unless the law requires otherwise, in which case we tell you first if the law allows;
- make sure everyone who can reach it is bound by confidentiality;
- keep it secure as the privacy notice describes (GDPR Art. 32);
- use only the suppliers named in the privacy notice as sub-processors, on terms that bind them to the same duties, and tell you at least 30 days before adding or replacing one — if you object, you may close your account;
- help you answer your athletes' requests and meet your own security duties, and tell you without undue delay after we become aware of a breach affecting their data;
- delete the data within 30 days of your account closing, or return it first if you ask — backups age out within 35 days, and records the law requires us to keep stay;
- give you the information needed to show that we meet these duties, and allow an audit by you or your auditor, with reasonable notice and at your cost.
4. What we provide, and what we do not
Splitbook helps you write and adapt training plans. It does not coach anybody. Every suggestion it makes is a proposal that does nothing until you approve it, and the plans it generates are drafts for you to change.
Nothing in Splitbook is medical advice. It is not a medical device and must not be used as one. Training carries risk of injury; the judgement about what an athlete should do remains yours.
5. Connected services
An athlete can connect Strava, and a coach can upload .fit files from a watch. Splitbook reads the activities; it never posts anything to Strava. We keep the figures read from a watch file, not the file itself.
Strava's own terms govern the connection, and Strava may limit or withdraw access at any time. If it does, new activities stop arriving, the ones already imported stay, and we owe no compensation for it.
6. Plans and payment
Splitbook is free for up to three athletes. Above that, a paid plan is required. The plans, their athlete limits and their prices are on the pricing page; prices are in euros or złoty and exclude VAT. Athletes are never charged.
A subscription is billed by calendar month. We send an invoice and you pay it by bank transfer by the 5th of the month; there is no card payment and nothing is charged automatically. The first month is charged by the day. A subscription keeps the price it started at; if you change plan, the new plan starts on the 1st of the following month at the price listed on the day you change. A discount or discount code applies for the period stated when it is granted.
You may cancel at any time by writing to us; the subscription runs to the end of the period you have paid for and does not renew. We do not refund part-periods. If we raise our prices we will tell you at least 30 days before the increase reaches you.
If a payment is late we remind you; we do not cut access automatically. When a subscription ends the account returns to the free plan — your data stays, but you cannot add or restore athletes beyond the free limit until you subscribe again.
7. A second coach
The coach who owns an athlete may invite another Splitbook coach (a co-coach) to work on that athlete, once the athlete has joined and only if the athlete approves. A co-coach sees and edits the athlete's training and health data. The athlete limit, billing and the athlete's consent stay with the owner. The owner, the co-coach and the athlete can each end the link at any time.
8. For athletes
Athletes use Splitbook free of charge, through their coach. Your coach, not Splitbook, decides what is in your plan and what is recorded about you; we provide the software. Nothing in Splitbook is medical advice: if you are unwell or hurt, do not follow a session and see a doctor. You train at your own risk. Do not share your sign-in code. You can sign out, withdraw your consent or ask for your data on the Privacy page.
9. Your data stays yours
You own what you put in. We claim no rights over your plans, your athletes' records or anything else you write, beyond what is needed to run the service for you. Splitbook itself — the software, its design and its name — stays ours; you may use it while your account lasts.
You may ask for a copy of your data at any time by writing to us, and we will answer within a month. To close your account, write to us; we will delete your data within 30 days, except where we are required to keep records — invoices, principally — for longer. Backups age out within 35 days.
10. Availability
We try to keep Splitbook running and do not promise that it always will be. There is no uptime guarantee at these prices and we would rather say so than write one we cannot keep.
We take backups and test that they restore. That is not a substitute for your own copy if the data matters to your livelihood.
11. Acceptable use
Do not use Splitbook to break the law, to store data you have no right to hold, to post unlawful content, to attack the service or anyone using it, or to resell access. We may suspend an account that does, and will tell you why. While an account is suspended, neither you nor your athletes can use it.
12. Liability
To the extent the law allows, our liability to you is limited to what you have paid us in the twelve months before the claim. We do not exclude liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded.
Nothing here affects the rights you have as a consumer if you are one.
13. Changes and endings
We may change these terms. Material changes will be announced at least 30 days in advance, and continuing to use Splitbook after they take effect means you accept them. If you do not, cancel.
We may end your account with 30 days' notice, or immediately if you breach these terms in a way that harms other users. You may end yours whenever you like.
14. Complaints
If something is wrong with the service, write to hello@splitbook.run saying what happened and how to reach you. We reply within 14 days. If you are a consumer you also keep every right the law gives you, including to turn to a consumer ombudsman or to the Office of Competition and Consumer Protection (UOKiK).
15. Law and contact
These terms are governed by Polish law, and the courts of Poland have jurisdiction. Questions go to hello@splitbook.run or to BDS Experts Leszek Szejka, Lipowa 61, 44-164 Gliwice, Poland, VAT ID (NIP) PL6312579527.
